Job Description: Office Assistant

The Office Assistant will perform a wide range of administrative and support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.

Job Responsibilities

  • Answer, screen and transfer inbound phone calls
  • File and update contact information of customers, suppliers and external partners
  • Maintain electronic and hard copy filing system
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Manage multiple online storage accounts
  • Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
  • Record, compile, transcribe and distribute minutes of meetings
  • General clerical duties including photocopying, fax and mailing

Job Requirements

  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in computer skills and MS office (Word, Excel, PowerPoint, Outlook)
  • Verifiable high school diploma or GED
  • B.S. in Chemistry, Material Science, or Engineering is a bonus
  • Proven experience as a secretary or administrative assistant (a minimum 12 months of administrative/clerical experience) is preferred
